Our client is a well-known international company, HQ in Amsterdam.

The job:

We are looking for an enthusiastic Legal Assistant (full time) to take an active role in assisting the Corporate Legal department. The Legal Assistant will work in a team of 5 English speaking colleagues directly and a range of colleagues and stakeholders globally across the business.

Key responsibilities:

  • Screening calls, emails and post, often dealing with highly confidential material and acting in an appropriate manner
  • Organizing meetings (including catering, booking rooms, registering visitors, IT equipment, checking presentations, handouts, chasing participants)
  • Conference calls and video conferences
  • Organise international and local travel, managing detailed itineraries
  • Conducting standard legal correspondence
  • Scanning and filing of documents, photocopying, binding documents, archiving soft and hard copies
  • Legadex project (digitalizing hard copy back log)
  • Compiling expenses forms and credit card claims
  • DMS for Legal (administrator and point of contact for Epona consultant)
  • Updates Legal Manager (administrator and point of contact for Effacts consultant)
  • Managing BOX folders and access
  • Professional Development Committee (speakers, handouts, room, participants, IT)
  • Practical Skills trainings on request of General Counsel (speakers, handouts, room, participants, IT)
  • RS Facility signatures (monitoring process, chasing PA’s)
  • Compliance Certificates (checking address list, monitoring process, chasing lawyers)
  • Board positions project (commercial functions)
  • Invoices legal fees (coding and routing)
  • Managing digital signatures (Adobe Sign)
  • Daily mail distributing 6th floor
  • Courier originals to Operating Companies and law firms
  • Point of contact for Meeting Rooms 5th floor (key and scheduling)
  • Office management (stationary, birthday gifts and cards, flowers, small IT requests, taxis, etc.)

  • Self-starter with initiative and the ability to solve problems quickly and effectively
  • Pro-active, great enthusiasm and ambition
  • Ability to create working relationships at all level
  • Sense of humour and lots of energy
  • Several years of relevant experience as Legal Assistant or Paralegal, within an international environment
  • Excellent Office skills (Word, Excel, PowerPoint, Outlook)
  • Very strong organisational skills
  • Excellent communication skills
  • Hands-on mentality and flexibility
  • Fluency in English (native or near native)
