Our client is an established business, with a strong market reputation and leader in its field, based in Amsterdam. The company has presence in 50 countries, 150 offices world wide and over 3.500 international staff. The Director manages the Global Team (150 pax worldwide) and is responsible for the international client portfolio, mostly multinationals.

The job:

This is a great opportunity for a proactive, forward thinking and tech-savvy Assistant to take control of the Director’s daily business life. By managing competing demands on her time and helping her organise her workload as well as being the first point of contact for her clients and colleagues.

Key responsibilities:

  • Provide high level of general administrative support to the Director.
  • Monitor, screen and manage all correspondence, mail, emails and calls.
  • Extensive, frequently changing diary management.
  • Extensive worldwide travel management (flights, accommodation, transport etc.).
  • Preparation of high quality correspondence, PowerPoint presentations and reports.
  • Administration for meetings, including setting up meetings, preparing agendas and papers, assisting any presenters as required, ensuring the Director is well prepared for meetings.
  • Organisation of meetings and conference calls, including booking internal and external venues, equipment and catering as required.
  • Organisation of team offsites and events as required.
  • Management and processing of expenses including the review of monthly expenses, reconciliation and payment of corporate card, and processing reimbursements, as required.
  • Liaising with clients, suppliers and other staff. Build strong professional relationships with internal and external colleagues and clients.
  • Meeting and greeting visitors at all levels of seniority.
  • Occasionally support the wider team with administrative support where necessary (e.g. travel arrangements).

Ideal candidate

The Director requires a full time Personal Assistant with a positive, fresh approach, who is motivated to keep up the standard and to set new ones. You will really need to become the ‘right hand support’. The successful candidate will be an enthusiastic team player who thrives in an international and client driven environment. Highly organised and able to adept at multi-tasking, whilst coping with pressure and meeting deadlines with a can do approach. You will need to have the ability to think outside the box and add a little humor to your work.

The Director travels about 25% of her time. In her absence she will often rely heavily on her PA, trusting that work will be handled efficiently. You are therefore expected to take ownership and work autonomously. Excellent communication skills are necessary and confidence to deal with internal and external contacts in the Directors absence. You need to know who key personnel are (both external and internal) and understand the organisation’s aims and objectives. Discretion and confidentiality are essential attributes for a successful candidate.

  • Excellent organisational and administrative skills with strong diary and time management capabilities.
  • Ability to work with minimum level of direction on multiple tasks.
  • Strong verbal and written communication skills.
  • Strong attention to detail.
  • Fluency in both Dutch and English.
